Privacy Policy

Last updated: November 8, 2026

Corey Deveaux Counselling is a counselling practice based in Sydney, Nova Scotia. We respect your privacy and are committed to protecting the personal information and personal health information entrusted to the practice. This policy describes how information is collected, used, disclosed, protected, and how you can raise privacy questions.

Information collected

Information you choose to provide may include your name, contact details, appointment requests, intake and consent forms, health history, counselling notes, billing information, and communications with the practice. We seek information relevant to providing counselling and administering services.

Jane: appointments, records and billing

The practice uses Jane, a third-party practice management platform, for appointment scheduling, client intake and consent documents, counselling records and session notes, billing, payments, and receipts. Client information entered into Jane is handled through that service and the practice's account settings. The practice remains responsible for its privacy obligations and for selecting appropriate access controls and information-handling practices. You can ask the practice about how your records are managed.

Virtual counselling through Jane

Virtual counselling appointments are provided using Jane's built-in video service. Jane states that video and chat content from these appointments is not recorded or stored by its telehealth service. Limited technical information, such as IP addresses, may be processed temporarily outside the region selected for Jane data storage to operate video appointments. Clients are encouraged to join from a private location using a trusted internet connection. The benefits, limitations, confidentiality considerations, and a plan for technical interruptions will be discussed as part of informed consent.

Automated appointment emails

The practice uses Jane to send automated appointment emails, which may include appointment dates, times, the practice name, and links for joining virtual sessions. Email notifications can be visible to anyone with access to the recipient's email account or device. Jane uses third-party communication service providers, and some information involved in sending communications may be processed outside Canada. Clients can discuss reminder preferences or request that reminders be disabled. Appointment reminders are administrative communications, not a substitute for secure clinical messaging.

Where information is processed

Jane states that its primary client data storage location depends on the region selected in the practice's Jane account. Certain features, including telehealth and communications, may involve limited processing outside that region. The practice can provide further information about the selected storage region and its use of Jane services upon request. See Jane's Privacy Notice for details.

Payments and receipts

Payments may be made through Jane Payments or by Interac e-Transfer, as arranged with the practice. An e-Transfer is processed through the relevant financial institutions and recorded manually in Jane for bookkeeping and receipt purposes. Jane can be used to generate receipts for payments recorded in the system. Please avoid including sensitive health information in e-Transfer messages or references.

How information is used and disclosed

Information is used to respond to inquiries, assess and provide counselling services, manage appointments, maintain records, communicate with clients, process payments, and meet legal and professional responsibilities. Personal health information is not shared outside the practice except with your consent or where permitted or required by applicable law. Relevant limits of confidentiality, including safety-related and legal exceptions, are discussed during informed consent.

Email and website inquiries

If you email the practice, your email address and message will be used to respond to your inquiry. Ordinary email and e-Transfer messages may not be appropriate for confidential clinical details. Please avoid sending sensitive health information in an initial email; the practice can arrange a more appropriate way to exchange clinical information.

Safeguarding and retaining records

The practice is responsible for taking reasonable administrative, technical, and physical steps to protect information against loss, unauthorized access, use, or disclosure. Clinical records are maintained through Jane and are retained and disposed of in accordance with applicable legal and professional requirements. Specific retention periods and procedures may depend on the nature of the record and the client's circumstances.

Your privacy rights

Subject to applicable law, you may request access to personal health information held by the practice, request correction of inaccurate or incomplete information, or raise a concern about how information has been handled. Requests may require verification of identity, and legal exceptions may apply. For children and youth, access and disclosure decisions also depend on applicable consent, capacity, and legal requirements.
